Procurement Manager, Petaling Jaya

Negotiation Short Course · Jul 2025

The preparation document exercise in week one was the most immediately applicable thing I have done in any training. I came back from the following Monday's supplier meeting with three things on paper that I had previously kept only in my head, and the conversation went differently as a result. The cohort size was small enough that the debrief after the second exercise session was actually about what I did rather than a general observation.

Twenty weeks is a long time when you are working full time. I knew the commitment going in because it was written down, but I still underestimated weeks fourteen and fifteen when the operating targets work coincided with our own internal reporting cycle. The faculty feedback on submissions was substantive — I received comments I had to think about, not comments confirming what I had done. The fourth star is missing because I wish the scenario work had included one that mapped more directly to service businesses rather than manufacturing-heavy examples.

I had done negotiation training twice before at larger venues with forty-odd participants. This was different because there was nowhere to disappear. By the third scenario I was being observed on specific things the facilitator had noted in the second one. The concession sequencing module in week two is the part I would send a direct report to do before their next contract discussion.

The train-the-trainer track was more rigorous than I expected. Our two instructors had both delivered training before but found the structured observation and feedback in the first cohort more confronting than they anticipated. The quarterly marking moderation is the part I would highlight to someone considering this engagement — it gave us a way to catch drift in how our team was assessing work before it became a problem. One thing I would flag: the scope around accreditation is real. If you need that, say so at enquiry stage and they will redirect you before you commit.

I came into the programme with responsibility for our annual planning cycle but without a framework I was confident in. What I left with was a review cadence that my director now attends because it generates information he finds useful, which was not the case before. The coaching sessions were scheduled at points that corresponded to where I was actually stuck rather than at calendar intervals, which I appreciated.

The curriculum design phase took longer than I had scheduled internally, not because Orbistra was slow but because our own decisions about contact-hour structure were slower than anticipated. Worth accounting for on your side. The materials set we received at the end has been used by three internal instructors across two cohorts since completion, with only minor updates. The assessment bank in particular saved significant time compared to writing our own rubrics from scratch.

Case Studies

Three participant journeys in detail

Negotiation Short Course

Procurement team at a mid-size manufacturing firm, Selangor

Situation

A team of four procurement staff had been negotiating annual supplier contracts without a shared preparation method. Outcomes varied significantly between individuals handling similar categories. The manager enrolled the team in one cohort to standardise preparation practice.

What happened

All four participants completed the three-week course, with each negotiating six scenarios. The preparation document exercise in week one was adopted as the team's pre-meeting standard. Debrief sessions identified that two participants consistently skipped multi-issue packaging in exercises and defaulted to single-issue concessions.

Outcome

The team now uses a shared preparation template before significant supplier negotiations. The manager reported that the two rounds of supplier contract discussions after the course were more consistent across the team than in prior years. No specific financial claim was made or requested.

Strategy and Planning Programme

Planning manager at a regional logistics company, Kuala Lumpur

Situation

A planning manager had responsibility for the annual planning cycle of a regional business but found that plans produced each year were rarely referred to by the leadership team between planning seasons. He enrolled to address both the planning process and the review structure.

What happened

Applied submissions across the programme were based on the actual business context. Faculty feedback on the planning cycle module identified that the review meeting structure was producing reports rather than decisions. The participant redesigned the cadence as part of his final submission. This was presented to his leadership team in the final week.

Outcome

The revised review structure has been running for five months. The participant reported that attendance and preparation levels for reviews are higher than before. The next annual planning cycle used the capability assessment framework introduced in weeks one to five.

Institutional Faculty Development

Chamber-affiliated training body, Klang Valley

Situation

A chamber-affiliated training body wanted to offer a management programme to member companies under its own brand. It had administrative capacity and subject knowledge but no structured curriculum, assessment framework or internal facilitators with programme delivery experience.

What happened

Curriculum design and the materials set were completed in months one to three. Two of the body's staff completed the train-the-trainer track. Cohort 1 was delivered by Orbistra faculty with both staff observing. Cohort 2 was led by the internal staff with Orbistra present. Quarterly moderation identified one assessment calibration issue which was corrected before marking was finalised.

Outcome

The body ran a third cohort independently after the engagement closed, using materials and the assessment bank from the engagement. The annual materials review identified two modules that needed updating for the following year. Accreditation was not part of the engagement scope and was handled separately by the body with its own legal advisers.
